New Employee Onboarding

Welcome to the Department of Laboratory Medicine & Pathology! We are excited that you have joined the team and are looking forward to your unique contributions and expertise in the world of clinical testing, research, and development. As you get started, please feel free to reach out to DLMP Education & Tracking at LMED@uw.edu to learn more about your onboarding tasks and resources. 

Pre-Employment Tasks:

You will receive several emails with tasks to complete before your start date. The emails you receive vary based on your prior UW/UW Medicine employment history.

  • Email #1 - Welcome: You will receive an intial welcome email informing you of tasks that you will need to complete to establish your relationship with the UW. This includes setting up the UWNetID, enrolling in Duo two-factor authentication, signing into Workday, and completing the I-9 form. Current employees with appointment changes do not receive this email.
  • Email #2 - UWNetID: You will receive a second email from UW IT that instructions to set up the UWNetID and password. Current UW employees do not receive this email since they already established their UWNetID.
  • Email #3 - Duo: You will receive a third email to set up your Duo two-factor authentication before you can log into Workday. Current UW employees do not receive this email since their Duo account is active. 
  • Email #4 - Workday: Once you have set up your UWNetID and Duo, you will receive a fourth email instructing you to sign into Workday to complete several tasks, including, but not limited to, the I-9 form, entering emergency contacts and direct deposit information, and selecting benefits. Employees have 30 days from their start date to select benefits. Transfer employees newly qualified for benefits also receive an instructional email. 

New Employee Orientations:

All new employees are required to participate in three orientations:

  • UW Medicine New Employee Orientation: 

    • Who: This orientation is led by Organization, Development, and Training (OD&T). You will receive a welcome email with the UW Medicine Orientation date, time, and directions from UW Medicine HR before your start date. Employees do not attend this orientation if they are currently employed by UW Medicine or separated from UW Medicine within the last year.  
    • What: You will be welcomed and introduced to the UW Medicine organization's mission, vision, philosophy of patient care, and service culture. In addition, you will be provided information about computer security tips, safety protocol, transportation options, employee benefits (i.e. retirement and healthcare plan options, discounts), and other compliance-related requirements. You will be able to pick up your employee ID badge and Husky Card/UPASS and have the opportunity to meet your union representatives. Lastly, you will provide your forms of identification to a UW Medicine HR assistant to complete the I-9 process. 
    • When and where: Held two Mondays every month from 7 to 4:45pm at the UW Tower:  Please refer to your welcome email from UW Medicine HR or the calendar on MediaLab for more information. 
    • How: Enter directions/transportation options here. 
  • Department of Laboratory Medicine & Pathology New Employee Orientation: 

    • Who: This orientation is led by DLMP Education & Tracking. You will receive a welcome email with the DLMP Orientation date, time, and directions from DLMP Education & Tracking before your start date. Employees do not attend this orientation if they are currently employed by DLMP or separated from DLMP within the last two years. 
    • What: You will be welcomed to the department and receive an array of information and tools including the department's mission, history, service culture, HR and compliance policies and procedures, computer and data security, lab and office safety, free continuing education opportunities, Employee Health requirements, and key contacts and resources. You will also sign documents required at the start of your employment and submit copies of education and certification documentation as required by role. Lastly, you will be taught how to access your UW email and how to set up your UW directly preferences. 
    • When and where: Held two Tuesdays every month directly following the Monday UW Medicine Orientation from 8 to 4:30pm at various computer classrooms around the HMC and UWMC: Montlake campuses.     • How: Please refer to your welcome email from DLMP Education & Tracking for directions to your orientation location.
  • DLMP Division Orientation:

    • Who: This orientation is led by your division's manager/supervisor, lead, and/or safety officer. Instructions and checklists will be provided on your first day in your division.

Online Safety and Compliance Training:

In addition to the in-person safety training you will receive in your lab or office area, you are required to complete online safety and compliance training based on your role and employment status in UW Medicine and DLMP. Please refer to the list of required training included in your DLMP Orientation follow-up email from DLMP Education & Tracking. 

 

  • Asbestos Training
    • (Required for all new hires)
    • All University of Washington employees are required by state law to participate in asbestos awareness training and certification. The Department of Pathology is required to keep record of completion of these trainings. Once you have completed the online training please forward confirmation to Rochelle Brown.
  • Prevention of Sexual Harassment Training
    • (Required for all new hires)
  • Violence Prevention Training
    • (Required for all new hires)
